What a defensible infusion pump PM checklist captures — and how to record it against your own procedures.
The night before the surveyor walks the pumps
A surveyor asks to see maintenance records for six infusion pumps on the med-surg floor. The tech pulls a binder. Two pumps have current stickers. One sticker is illegible. Two pumps show no record at all, though the shop swears they were serviced in the spring rotation. This is not a rare scene — it is what happens when infusion pump PM depends on a technician's memory of "we did those already" instead of a checklist that produces a signed record every time.
An infusion pump preventive maintenance checklist exists to prevent exactly that gap. It turns a service visit into a repeatable sequence — inspection, functional test, electrical safety check, sign-off — and it leaves behind a document that answers a surveyor's question without anyone having to reconstruct memory under pressure.

What belongs in an infusion pump preventive maintenance checklist
A usable infusion pump PM checklist has four sections, and each one produces something you can point to later:
- Asset identification — make, model, serial number, asset ID, department/location, and the client site if you service multiple facilities.
- Visual and mechanical inspection — housing, door latch, pole clamp, air-in-line sensor cover, occlusion sensor, battery compartment, and cabling, checked for physical damage, cracked housings, or missing labels.
- Functional and safety testing — the values that prove the pump still does what it's supposed to do: flow-rate accuracy, occlusion alarm pressure, air-in-line detection, free-flow protection, and battery run time, plus electrical safety testing.
- Sign-off and disposition — technician name and credential, date, pass/fail/needs-repair determination, and next-due date.
Skipping any of these four sections is what produces the illegible-sticker binder. A checklist that only records "PM complete, initial here" gives a surveyor nothing to evaluate and gives your own shop no defense if a pump fails after service.
Step-by-step: inspection, testing, and documentation
1. Visual and mechanical inspection
Start with the pump powered off. Check the housing for cracks, the door and latch mechanism for wear, the pole clamp for a secure grip, and the power cord and strain relief for fraying. Confirm the asset tag and any client-facility identification is legible. Note anything that fails inspection before you power the unit on — a damaged latch, for instance, can make an occlusion test meaningless even if the sensor itself is fine.
2. Functional testing
With the pump powered on, run the manufacturer's specified functional tests. This typically includes:
- Flow-rate accuracy — compare delivered volume against a set rate using a calibrated flow analyzer, checked against the tolerance published in the OEM service manual.
- Occlusion alarm — confirm the pump alarms at the pressure threshold specified by the manufacturer for that model.
- Air-in-line detection — verify the sensor correctly flags air in the tubing.
- Free-flow protection — confirm the anti-free-flow mechanism engages when the door is opened or tubing is removed under pressure.
- Battery function — verify run time and low-battery alarm behavior where applicable.
Record actual test values, not just "pass." A value of "97.5 mL/hr against a 100 mL/hr set rate" is a record; "OK" is not.
3. Electrical safety testing
Every infusion pump PM should include an electrical safety check, typically chassis or enclosure leakage current, ground resistance, and a visual check of the power cord and plug. 4. Documentation and sign-off
Every completed infusion pump preventive maintenance checklist should carry, at minimum: the technician's name and credential (a Certified Biomedical Equipment Technician, or CBET, credential is offered through AAMI and is a common qualification for this work), the date of service, the specific test values recorded, a clear pass/fail/needs-repair determination, and the next PM due date. This is the record a surveyor asks for, and it's the record that protects the shop if a pump is later implicated in an incident.
Worked example: reading a leakage-current result
Electrical safety limits are commonly expressed as chassis or enclosure leakage-current thresholds, with different limits for general-care versus critical-care use, under normal conditions. As a worked example only — confirm the exact limit in force for your setting against the current edition of the applicable standard — a general-care limit is often cited around 300 µA, and a critical-care limit around 100 µA, under normal conditions.
Say your meter reads 85 µA on a pump assigned to a general medical-surgical floor. That result passes against a 300 µA general-care threshold with margin to spare. Now say the same 85 µA reading comes off a pump assigned to an ICU bed, evaluated under a 100 µA critical-care threshold. It still passes, but with far less margin — worth flagging for closer attention at the next PM rather than filing without comment.
This is the kind of arithmetic a checklist should make automatic: record the raw number, record the threshold that applied, and let the comparison speak for itself in the file.
Sign-off, recordkeeping, and audit readiness
A signed infusion pump PM checklist is only useful if it can be found again. Hospitals operating under Medicare's Conditions of Participation are expected to keep facilities and equipment in safe operating condition, and a surveyor reviewing that expectation will typically ask to see the maintenance record for the specific asset in front of them — not a general assurance that "PM gets done." The Joint Commission, which has accredited U.S. healthcare organizations since 1951, evaluates equipment maintenance documentation on the same logic: a record tied to a specific asset, a specific date, and a specific technician.
For shops managing pumps across more than one facility, the harder problem isn't writing the checklist — it's finding last October's completed one for a specific client's specific pump, fast, when a surveyor is standing in the hallway. That retrieval problem is a bigger driver of audit stress than the checklist content itself.
